Interpreters for SEN and safeguarding meetings: a practical checklist for schools

Three people sit together discussing documents, with one person taking notes.

For transparency, AI has been used during the generation of this article, with every care taken to verify its accuracy.

Supporting pupils and families who speak English as an additional language (EAL) is a vital part of inclusive education. When sensitive topics such as SEN (Special Educational Needs) or safeguarding are involved, clear communication becomes critical. For these important conversations, language interpreters ensure parents fully understand what is discussed, helping schools meet legal responsibilities and provide a child-centred approach.

This guide offers a simple, practical structure so your school can work effectively and sensitively with interpreters before, during and after meetings – including the forms and administrative steps schools often overlook.

Why interpreters matter for SEN and safeguarding

  • Ensures families understand assessments, plans and any safeguarding actions
  • Supports equality, inclusion and statutory compliance
  • Provides cultural sensitivity, avoiding unintentional misunderstandings
  • Builds trust and keeps safeguarding discussions accurate and transparent

Checklist before the meeting

  • Book early – giving notice improves interpreter quality and availability
  • Provide essential booking details:
  • Meeting type (SEN review, Child Protection plan, EHCP update)
  • Date, time and duration
  • Language and dialect required
  • In-person (face-to-face) or remote
  • Attendee names and roles
  • Share context: Upload copies of official documentation or learning materials in advance to your language solutions provider so the interpreter understands the meeting’s purpose and tone
  • Confirm confidentiality: Interpreters should follow safeguarding policies and interpreting guidelines set by the school or local authority (LA)
  • Prepare staff: Use the quick prompt sheet below for teachers

Administrative procedures and forms: what schools need to do

Schools often miss the internal admin steps that ensure smooth access to interpreting services. Here’s your checklist:

Most local authorities or multi-academy trusts (MATs) require a formal interpreting request for SEN and safeguarding meetings. This form usually includes:

  • Meeting category, location and purpose
  • Language and dialect requested
  • Contact details and invoice reference

If you need official documentation (e.g., safeguarding plans, consent forms, EHCP agreements) to be shared in another language, ensure certified translations are arranged in advance. This may be a separate document translation process from interpreting, if the school does not currently provide the document in different languages.

Your institution should have interpreting protocols covering confidentiality, safeguarding rules and interpreter conduct. Make sure staff are aware of these policies.

If the meeting references targets or assessments, provide the interpreter or translation team with any relevant learning materials beforehand.

After using an interpreter, file the signed attendance sheet and update your safeguarding log. Administrative signatures may be required depending on LA policy.

Checklist for during the meeting

  • Speak directly to the parent or carer
  • Use plain English, keep sentences short
  • Allow time for interpretation – avoid rushing
  • Re-explain technical terms and acronyms as needed
  • Check understanding and document this in your meeting notes

Checklist after the meeting

  • Summarise and confirm next steps for all involved
  • Provide translated documents where required
  • Log interpreter inclusion in your safeguarding records
  • Reflect: Did the process meet cultural sensitivity standards?

Minimum booking information template

When contacting your interpreting provider, include:

  • Date, time and duration
  • In-person or remote (video or phone)
  • Language and dialect
  • Meeting category (SEN, Safeguarding, EHCP)
  • Location and instructions
  • Official contact for queries
  • Reference for invoicing purposes

Staff prompt sheet: working with interpreters effectively

  • Address parents, not the interpreter
  • Speak clearly in short sections
  • Avoid jargon and acronyms
  • Allow interpreting to finish before moving on
  • Maintain professional tone and boundaries
